“We had a project with dozens of small follow-up tasks—and a lot of them weren’t documented,” says Thomas Messerschmidt. The work had been done, the materials used, and the client was happy. But without proper records, some of it couldn’t be billed.

“In day-to-day operations, it’s not the big construction sites that cause trouble,” he explains. “It’s the little things that get lost along the way.” When your clients include architects and high-end homeowners, proper documentation and billing are part of what defines professional excellence.

Thomas has a clear philosophy when it comes to running a business. “A coach once gave me the best advice I’ve ever heard: If your crew is trimming a long hedge, make sure the ladder is already waiting at the other end.”

“That line stuck with me. I want my team to work without friction. Every snag in the process costs money and motivation. That’s why I use tools that help them stay focused on the job.”

From Group Chats to Structure

For a long time, the team used messenger group chats to communicate on jobs. It worked—until tasks got buried in the message flow and started slipping through the cracks. Today, documentation and coordination run through Benetics: tasks, plans, reports, and photos are all structured and linked to the right project.

“What used to be messy is now clearly organized. When an architect points something out on-site, I dictate the task straight into Benetics—and my team has it right away,” says Thomas.

For small extra jobs during a project, the system really shines. “My team loves to work with their hands, but they’re not fans of paperwork,” Thomas explains. “So the voice function was a gamechanger.” The technician just speaks into the app, Benetics creates the report automatically, and the customer signs on the spot—on the phone.

Matthias is Thomas’s right hand and oversees daily operations. For him, the improved overview makes a big difference. “I can see instantly what’s still open. And the crew has everything they need without constantly calling me. That calms everything down.”
