“Writing reports is not our core business.”

Cloud systems, MS Teams, WhatsApp – Herzog had long been working digitally. But that became part of the problem. “We had countless tools, but nothing that brought everything together.” Information from construction sites came in via phone calls or handwritten notes. Time and material reports were often rewritten properly back at the office – if at all. Photos were missing, signatures delayed, additional work wasn’t recorded.

Coordination with external partners has also improved. Previously, a plastered-over ventilation outlet would be reported by phone. The site manager and plastering contractor had to visit again – costing time and money.

Today, the technician marks the issue directly in the digital plan within Benetics AI, records a voice note, and adds photos. The project manager of the other company instantly receives a ready-to-send PDF with all relevant information. Everyone saves time.

On large-scale projects running over several years, maintaining oversight is always challenging. In the past, old paper plans ended up in boxes, and notes were lost. “In the end, we sat there with five binders asking ourselves: Did we invoice everything?” Now, Ali can see at a glance in Benetics AI’s plan what remains open and what has been completed.

“As long as the pin is colored, I know it’s not done yet.” This creates transparency in project controlling and prevents services – and their billing – from being forgotten.
