The Challenge: Extra Work Without Proper Documentation

Unexpected work is part of every construction project. Standing water has to be removed from a roof. Other trades delay the schedule. Additional repairs suddenly become necessary.

All of this work needs to be documented so it can be billed later. In reality, that often failed because daily reports or handwritten notes were never completed. “Nobody enjoys writing reports. We constantly had to chase people just to get the work documented,” says Klaus Marquardt.

The problem was especially noticeable with subcontractors. Many drove directly to the jobsite in the morning and straight home after work. Daily reports and extra work documentation often never made it back to the office.

The Solution: Voice Instead of Paperwork

Today, daily reports, site documentation and extra work records are created simply by speaking into Benetics AI. Every worker can document work in their own native language. They describe what happened in plain language, and Benetics AI automatically creates a structured report.

The rollout started with a small pilot involving a few employees and subcontractors. After positive feedback from both the field and the office, the company expanded the platform across more projects.

If questions arise later about additional work, the documentation already exists. A photo of standing water on the roof, another trade blocking the work area or an unexpected repair clearly explains why additional labor was required. That creates transparency and reduces unnecessary discussions between everyone involved.

Real Example: Better Documentation from Subcontractors

Marquardt has also seen major improvements when working with subcontractors. In the past, external crews often submitted very few daily reports—or none at all. Today they create reports directly with the Benetics AI Voice Assistant.

On one project alone, subcontractors created around ninety daily reports and more than eighty work reports. “We’re getting documentation today that we simply didn’t have before,” says Klaus Marquardt.

That information makes completed work fully traceable and significantly improves project reviews and job costing. When a subcontractor explains that a project became more difficult than expected, Marquardt now has the documentation needed to understand the situation—and compensate everyone fairly.
