For years, project information at EJH Construction lived in different places. Finding the right document or understanding the latest project status often meant searching through emails, calling field teams or tracking down photos on someone’s phone.

“We were using all of these at the same time. And not well,” says Steve Ball, Head of Operations at EJH Construction.

The company had tested numerous software platforms over the years. Some were designed for residential construction. Others focused on restoration work or large-scale project management. The bigger challenge, however, was never the software itself. It was adoption.

“If your field staff doesn’t buy into the software, it’s not going to be successful,” says Ball. The office needed better visibility. The field needed something simple enough to use every day.

For EJH, the breakthrough came when documentation stopped feeling like extra work. Instead of typing reports, searching for forms or sending follow-up emails, field teams could simply speak into their phones.

Daily field reports, task updates, extra work documentation and jobsite observations could all be captured while the work was happening. “Once you make their life easier, they naturally get engaged,” says Ball. That simplicity changed the dynamic between the field and the office.

Before Benetics AI, managers were constantly following up on missing information. “We were always chasing daily field reports,” says Cori Hale, President of EJH Construction. Today, those reports arrive consistently because the process fits naturally into the workday. “Now they just do it.”

Better Visibility Across Every Project

For EJH, the biggest benefit is not a specific feature. It is having project information in one place.

Tasks, documents, photos, plans, daily reports and project communication are connected to the same project record. Field teams can access scopes of work, contracts and drawings directly from their phones. Office staff can see updates without waiting for phone calls or searching through multiple systems.

That visibility has improved project control across the company. “If somebody calls and asks about a project, the information is right there,” says Ball. The result is fewer missed details, faster follow-up and greater confidence that everyone is working from the same information.

Real Example: An Emergency Call at Midnight

One example came during an emergency service call at a hotel. After completing the work late at night, EJH needed documentation and customer sign-off before leaving the site.

Using Benetics AI, the team documented the work, added photos, collected a signature and generated a PDF report directly from the field. The report was sent within minutes. What previously required additional paperwork and office administration was completed before the crew even left the jobsite.

Beyond Daily Reports

As adoption grew, EJH began using Benetics AI for more than field reporting. The company now manages tasks between field and office teams, documents change orders, captures customer signatures and stores project documentation in a single location.

The platform is even used for vehicle inspections and fleet documentation, replacing paper-based processes that were difficult to manage consistently.

For Ball, the value comes down to organization. “Everything is centrally located.”
